Better Time Stories is an initiative by

iKs B.V., a company with limited liability, registered with the Chamber of Commerce with number 86913786, located at Singel 542, 1017AZ Amsterdam

and

Number 5 Foundation, a foundation with ANBI status, registered with the Chamber of Commerce with number 68953313, located at ’t Hoenstraat 5, 2596HX The Hague

2. PURPOSE

The Better Time Stories partnership collects and processes data:

• to raise money through private and corporate donations
• to provide free book packs to refugees from Ukraine

3. DATA WE COLLECT

We collect information about you in three ways:

• directly based on your input in one of our forms;
• through techniques in our applications; and
• from third-party sources to enhance our data

3.1 DATA YOU PROVICE

The type of personal data we, or one of our partners, collect from you depends on how you use our applications.

3.1.1 DONATION

When you make a donation via the bettertimestories.com website, we always collect the following information from you:

• Your name and email address
• The amount you donate
• The language in which you are using the form (aka, browser language)
• Payment details
• The amount you donate to us

We use this information to properly process your donation and to allocate your donation to a recipient in the country from which you make the donation (if possible). We also use your data to inform you about the status of your donation. We do not use your information to send you solicited or unsolicited newsletters, advertisements and/or other messages.

If you wish, you can optionally expand your details with your address details. We can then link your donation more specifically to a request in your geographical area.

3.1.2 REQUEST

If you request a package from us, we will store the following information about you:

• Your name and email address
• Basic information about your refugee situation, such as the family composition
• The country you currently reside in
• The shipping address where you want to receive the package

3.2 DATA WE COLLECT AUTOMATICALLY

The applications automatically collect data about how you and your device interact with us, including:

• Information about your computer, device and connection, such as IP address, browser type and version, operating system and other software installed on your device, mobile platform, unique device identifier and other technical identifiers, error messages and performance data
• Usage data, such as URL tracking data, including date and time stamp, and referring and exit pages, and pages you have visited or searched for on our website

We collect this information through our servers and through the use of cookies and other technologies. You can manage cookies through your browser settings and other means. However, if you block certain cookies, you may not be able to register or take full advantage of the services we provide through the website.

3.3 DATA FROM OTHER SOURCES

If you place a request or donation on the website, we enrich your data with additional information to ensure that the processing runs as smoothly as possible:

• When placing a request (not with a donation), we check your data and possibly enrich it with additional address information (eg geographic location and/or location).
• If you ask a support question, we can combine the details of that request with your request and/or your donation
• Data from third parties that we work with may be stored in a system managed by us.

4. HOW WE USE YOUR DATA

Depending on how you interact with us, we use your personal data to:

• Process and fulfill a request, request, donation or other transaction
• Process payments
• Send a package via a postal or parcel service
• Respond to your questions and/or comments
• Identify usage trends and develop data analytics, including for reporting and other business processes
• Determining the effectiveness of our promotional campaigns
• Otherwise comply with our primary service, comply with our legal obligations or resolve disputes

5. SHARING DATA

We share information with our service providers and suppliers:

• Stripe (payment processing)
• Sendgrid (for sending email confirmations automatically)
• Salesforce (for processing data about donations and requests)
• PostNL (for sending parcels in the Netherlands)
• DHL (for sending parcels in the DACH region)

6. STORAGE OF YOUR DATA

We will retain your personal data for as long as necessary to provide the Service and carry out the transactions you have requested, and for other essential purposes, such as complying with our legal obligations, maintaining business and financial records, resolving litigation, maintaining security, detecting and preventing fraud and abuse, and enforcing our agreements.

7. LOCATION OF YOUR DATA

Your personal data is processed on the Salesforce platform. Better Time Stories' Salesforce environment is hosted in the EU44 SFDC instance. The physical locations of the data centers used for this are Frankfurt, Germany and Paris, France.

8. LEGAL GROUNDS FOR PROCESSING

When we collect personal data from you within the framework of European data protection laws, we do this:

• with your permission
• as necessary to provide the Service, perform a transaction or otherwise perform an appointment with you or at your request
• if necessary to comply with a legal obligation
• if necessary for the performance of a task in the public interest
• to the extent necessary to meet our legitimate interests as described below, except where our interests override your privacy rights.
